An inbox with 8,000 unread emails — how to get out of it

Eight thousand unread messages. Every time you open your inbox there is a little stab of stress, and you no longer browse — you only search.

The solution isn’t to read them all. That won’t happen.

First: draw a line under the past

Create a folder called Archive 2026 and move everything into it. The whole inbox.

Nothing is deleted — everything is still searchable. But the inbox is empty and you start with a clean slate.

If something was truly urgent, they will get in touch again.

Three folders, not thirty

People create a folder per client, then per year, then per project — and then spend more time filing than working.

Three are enough:

Needs a reply — things that require something from you

Waiting for a reply — sent, and you are waiting for them

Archive — everything else

Search is faster than any folder structure. Folders are there so you know what is waiting, not for storage.

The habit

Every message you open goes to one of four places, straight away:

  • A reply that takes under two minutes — reply now
  • Needs more than that — into “Needs a reply”
  • Just information — into Archive
  • Not needed — delete it

The rule: the message never goes back into the inbox. That is what makes the difference.

Twice a day, not all the time

Notifications for every email break up your work more than they help. Switch them off.

Morning and afternoon are enough for almost any job. If something is truly urgent, people call.

Rules that do the work for you

In cPanel (Email Filters) or in your email program:

  • Automatic notifications from systems → their own folder
  • Newsletters → a folder you read whenever you like
  • Orders from the website → kept separate, so they don’t get lost

Anything that is a notification rather than a conversation shouldn’t pass through your inbox.

The quota — the practical question

A full mailbox means rejected messages — the sender gets an error, and you know nothing about it.

Attachments take up the most space. In cPanel → Email Disk Usage you can find the largest messages and clear them out.

Set a warning at 80% of the quota. That is a few minutes of work that prevents lost orders.

All our plans include unlimited email addresses, with SPF and DKIM set up.
